- 0:00 After successfully logging into the IVG, the driver opens the hours of service
- 0:04 application and sees the status tab.
- 0:07 At the top are the remaining hours before the driver goes into violation for any
- 0:11 hours of service rule and the name of the driver whose records are displayed.
- 0:15 If there is a co-driver logged into the IVG, that driver can be selected.
- 0:19 To ensure driver security when there is a co-driver logged in, at any time either
- 0:24 driver wants to view logs, the driver is prompted to re-enter a password.
- 0:27 A green dot indicates the active driver. A grey dot indicates the inactive driver.
- 0:34 Next to the driver's name is the current DOT, MOT in Canada, date and remaining
- 0:39 hours until the driver goes into violation.
- 0:42 If your company uses the workflow or vehicle inspection report applications, the
- 0:46 driver can jump to those applications from almost any screen in hours of service.
- 0:50 The driver may see messages showing the log status.
- 0:54 Log update in progress, not current logs.
- 0:56 Review and approve your logs.
- 0:58 When the driver's logs are sent for approval, the driver sees the second message.
- 1:03 The status screen shows how many hours the driver will gain over the next two days.
- 1:08 Have your drivers use this information to determine if a 34-hour reset is needed.
- 1:12 The status tab also displays the current duty status and information about that
- 1:17 status.
- 1:18 To edit remarks on the current status, the driver taps Remarks.
- 1:23 To change status, the driver taps Change.
- 1:27 Here the driver taps a different duty status.
- 1:29 The available duty statuses are based on if this is the active or inactive driver
- 1:33 and what features are enabled for drivers.
- 1:36 You can define a list of remarks that a driver can specify or allow the driver to
- 1:40 type a remark to describe what occurred during that status.
- 1:44 If typing a remark, the driver taps in the text box and types on the pop-up
- 1:48 keyboard.
- 1:49 When finished, the driver closes the keyboard and taps OK.
- 1:53 In this example, the driver is now in off-duty status.
- 1:57 If you enabled clock-in and clock-out for your drivers, they may account for on-duty
- 2:02 time away from the truck.
- 2:04 Clock-in is before the driver began driving, such as attending an early driver
- 2:08 meeting.
- 2:09 Clock-out is used at the end of the driver's shift, such as completing paperwork in
- 2:13 the office.
- 2:14 When clocking in, the driver enters the time the shift began.
- 2:18 The driver taps the arrows to the right of the posted clock-in time to adjust the
- 2:23 start time, then selects one or two remarks,
- 2:25 or, if available, types a remark to describe what happened during this status.
- 2:30 When done, the driver closes the keyboard and taps OK.
- 2:34 The clock-out function works similarly and the driver identifies when the shift
- 2:38 ends.
- 2:39 The Summary tab graphically shows the four main clocks available to the driver.
- 2:44 The shortest bar indicates the hours of service rules that is next to go into
- 2:48 violation.
- 2:49 The Clocks tab displays only if you specified on your contract that you would like
- 2:54 to run rule sets other than the default US rules.
- 2:56 If you're running multiple rule sets, this tab shows a summary of the driver's hours
- 3:01 for the current duty cycle.
- 3:03 The hours of service application does not automatically identify when a state or
- 3:08 international border was crossed.
- 3:09 While the driver is pulled over during a border crossing inspection, the driver must
- 3:13 tap Border to indicate manually that there is a border crossing.
- 3:17 The driver can also tap Region to identify the rule set being used.
- 3:22 The Graph tab graphically represents the driver's duty status for the current day.
- 3:26 The information on this tab is View Only and from here the driver can see
- 3:30 information about the selected day.
- 3:33 The driver selects a duty status to see any remarks entered for it.
- 3:37 The Daily Log tab shows the driver's daily duty status logs as a list.
- 3:41 The driver can scroll among days, view info about an entry, or select duty statuses
- 3:47 to see company info or any remarks about a duty status.
- 3:51 During a roadside inspection, the driver can send eRODs if requested,
- 3:55 show the Inspector Mode which displays different information,
- 3:57 than the default driver view,
- 3:59 and show the header that provides additional details for the Inspector.
- 4:04 The Duty Cycle tab, named for the US or Canadian duty cycle the driver is running
- 4:08 under,
- 4:09 shows a daily sum of mileage, driving time, and on-duty time.
- 4:13 Further details are shown under the Vehicle Info.
- 4:17 From here, the driver can request the latest duty status logs from the server.
- 4:22 The Certify tab is where the driver would view, edit, and certify logs.
- 4:27 For more information on editing logs, see the Driver Log Edits video.
- 4:32 The Load tab is where the driver would enter load information and view current and
- 4:36 historical load information.
- 4:38 If your company has integration with a dispatch application or workflow,
- 4:42 this information may be pre-filled and the driver doesn't have to do any manual
- 4:46 entry for each load being hauled.
- 4:49 Because load information is a federal requirement,
- 4:51 if no information is entered about the load,
- 4:53 the driver is prompted to enter load information the following day,
- 4:56 or face a form and manner violation.
- 5:01 If there was no load while the driver was driving,
- 5:04 the driver may enter any characters in the load ID and use Bobtail or Deadhead for
- 5:08 trailer number.
- 5:10 The Carriers tab should display the carrier information as entered in the Hours of
- 5:14 Service Back Office application.
- 5:16 The Carriers tab and Carrier Setup in Hours of Service do not identify separate
- 5:21 companies the driver may haul for,
- 5:23 just divisions of a single company, like Bulk vs. Refrigerated or Hazmat vs. Ditz.
- 5:28 Defense Department Tracking System
- 5:30 If your company has multiple divisions that are their own carrier entities,
- 5:35 you would enter those in the Hours of Service Back Office application,
- 5:38 and the driver would select the carrier here.
- 5:43 The driver uses the IVG to communicate with your dispatch office.
- 5:48 Depending on how your IVG is configured, the driver can
- 5:51 Exchange information with your dispatch office
- 5:54 View videos, hear audio files, and download PDFs
- 5:59 Surf the Internet
- 6:02 Log in and use Hours of Service
- 6:05 Navigate among various stops
- 6:08 IVGs notify the driver that new information was received by
- 6:13 Displaying a message on the screen
- 6:16 Illuminating a light on the unit
- 6:18 Sounding an alert
- 6:19 A new message has arrived
- 6:22 Drivers interact with the IVG by
- 6:26 Tapping the active area on the screen
- 6:28 Pushing buttons on the IVG
- 6:31 Be aware that to eliminate driver distraction,
- 6:34 many applications on the IVG are not accessible when the wheels are turning.
- 6:39 Only after the vehicle is stopped can the driver begin using those applications.
- 6:44 Because some applications on the IVG need to know the driver's ID,
- 6:48 the driver must log in to the IVG using the login you created in Q-TRAX.
- 6:53 To begin, the driver goes to the Home screen and taps Driver Login.
- 6:59 The driver types the driver ID and password,
- 7:02 and, if logging in as the second driver, identifies as the active or inactive
- 7:08 driver.
- 7:09 The driver closes the keyboard and taps OK.
- 7:13 The driver is then prompted to identify a duty status and tap OK.
- 7:19 A driver's duty status in Hours of Service is different from being logged in to the
- 7:24 IVG.
- 7:25 Logging in identifies the driver as being in the vehicle,
- 7:28 and the person doing the driving must be identified as the active driver.
- 7:32 The active driver Hours of Service logs are updated during the course of the
- 7:38 day.
- 7:39 Be aware that changing the login status from active to inactive does not put the
- 7:44 driver into an off-duty status.
- 7:47 Drivers must maintain accurate Hours of Service duty status logs
- 7:51 by using the Hours of Service application to manually change duty status.
- 7:56 Verify log changes from the back office and certify logs daily.
- 8:01 When the driver logs in, the DOT or MOT clock begins to count down to the next
- 8:07 violation
- 8:07 and the driver's login ID displays until the ID and password are confirmed over the
- 8:13 air.
- 8:13 When the login is confirmed, the driver's full name displays.
- 8:18 When two drivers are in the cab, one driver is active and the other driver is
- 8:23 inactive.
- 8:24 For additional driver security, when there is a driver and co-driver logged in to
- 8:29 the IVG,
- 8:29 there is a password challenge when the co-driver attempts to view or edit logs.
- 8:34 To log in a second driver, go to the Home screen and tap Driver Login.
- 8:40 Then tap Add.
- 8:43 Type the second driver's ID and password.
- 8:46 Close the keyboard.
- 8:47 Identify as the active or inactive driver, then tap OK.
- 8:53 The driver is then prompted to identify a duty status and tap OK.
- 8:59 To swap active drivers,
- 9:00 select the inactive driver and tap Change.
- 9:04 Tap OK.
- 9:06 Enter that driver's password.
- 9:09 Close the keyboard and tap OK.
- 9:12 Now the second driver is the active driver.
- 9:15 To log out, the driver goes to the Home screen.
- 9:19 Taps Driver Login.
- 9:21 Log Out.
- 9:23 Identifies a logged out status and taps Log Out.
- 9:30 In most cases,
- 9:32 you maintain logs by manually identifying duty status changes as they occur,
- 9:37 or the IVG puts you in the appropriate duty status automatically,
- 9:42 only if you select the wrong duty status.
- 9:45 The carrier makes edits,
- 9:47 or you forget to change your duty status will you need to edit logs.
- 9:52 For the processes on how to edit logs, see the Driver Log and Carrier Edits video.
- 10:00 As the first driver logging in to the IVG,
- 10:03 you are identified as the active driver and you select a duty status.
- 10:08 When a co-driver logs in,
- 10:10 they identify as active or inactive before selecting a duty status.
- 10:16 The active driver is automatically placed in driving duty status when the wheels
- 10:20 move,
- 10:21 and is prompted to drop into on duty when the wheels stop.
- 10:26 When logging off,
- 10:27 you are prompted to pick a final duty status.
- 10:31 Between those events,
- 10:32 you may also need to manually identify duty status changes.
- 10:37 The most common manually selected duty status will be the 30 minute rest break.
- 10:43 Keep an eye on the DOT clock to stay in compliance.
- 10:46 As soon as you log in to the IVG,
- 10:49 the clock starts counting down to the soonest violation.
- 10:52 The Summary tab shows all applicable hours of service clocks counting down.
- 10:56 The lowest number in the Available column indicates what rule is next to go into
- 11:01 violation.
- 11:01 As you approach 8 hours of on duty time,
- 11:06 you must take a rest break that is greater than 30 minutes long.
- 11:09 To do so,
- 11:10 open the Hours of Service application to the Status tab and tap Change.
- 11:17 Tap Off Duty.
- 11:20 If remarks are required,
- 11:21 you can select or enter remarks.
- 11:24 Close the keyboard and tap OK.
- 11:28 Until you are off duty for more than 30 minutes,
- 11:31 you cannot select an on duty status.
- 11:35 Be aware that if the wheels move for any reason while on break,
- 11:39 you are automatically bumped into driving duty status
- 11:42 and must restart the break or be in violation.
- 11:46 If off duty and using the vehicle for personal conveyance,
- 11:49 open the Hours of Service application to the Status tab and tap Change.
- 11:55 Tap Off Duty and tap Personal Conveyance.
- 12:00 All other duty status changes are performed as for the 30 minute rest break.
- 12:05 Just be sure to select the appropriate duty status and leave remarks if required.
- 12:13 You must ensure that your load and carrier information is accurate
- 12:17 or risk a form and manner violation.
- 12:20 To help avoid a violation,
- 12:22 Hours of Service prompts you to enter any missing required information when logging
- 12:27 out.
- 12:28 If your company has integration with a dispatch application or the workflow
- 12:33 application,
- 12:34 load information may be pre-loaded
- 12:37 and you don't have to manually enter each load being hauled.
- 12:40 To enter information, tap Load.
- 12:45 Tap New Load.
- 12:47 Type a load ID.
- 12:50 Verify or update your start and end dates.
- 12:54 Type a bill of lading.
- 12:56 Type a trailer ID.
- 12:59 Tap to close the keyboard and tap OK.
- 13:03 If you weren't hauling a load,
- 13:05 you may enter any characters for the load ID
- 13:07 and use Bobtail or Deadhead for the trailer number.
- 13:11 As always, ensure what you enter on your official logs of record
- 13:14 is both accurate and complies with your company's procedures.
- 13:19 If you haul for multiple divisions of a single company,
- 13:22 like bulk versus refrigerated,
- 13:23 you're required to identify that division under Carriers.
- 13:28 To enter carrier information,
- 13:30 tap the Carriers tab.
- 13:33 Select the carrier and tap OK.
- 13:40 Every 24 hours, you must review and certify your logs.
- 13:45 Initially, when you log into the IVG,
- 13:48 you cannot edit or certify logs
- 13:50 because the Hours of Service application
- 13:52 is synchronizing with the server
- 13:54 and you must wait for the
- 13:55 Review and approve logs message to appear.
- 14:00 For ELDs,
- 14:01 if you have any carrier edits,
- 14:03 you are prompted to review and certify them
- 14:06 after logging into the IVG.
- 14:08 You see the Carrier Edits prompt and tap
- 14:10 Review Carrier Edits.
- 14:13 You can then reject or confirm those edits
- 14:15 and, if accepted,
- 14:17 you may certify those logs.
- 14:20 If you reject the carrier edits,
- 14:22 you must enter a reason for rejecting the edits.
- 14:26 For both ELDs and AOBRDs,
- 14:29 you certify logs in 24-hour increments,
- 14:32 not multiple days at a time.
- 14:34 Be aware that both certified and uncertified logs
- 14:37 for your full duty cycle
- 14:39 are accessible on the Certify tab.
- 14:42 If you are certifying logs without being prompted,
- 14:45 as part of the normal log review and certification,
- 14:47 from the ELD's home screen,
- 14:51 tap Hours of Service
- 14:52 and on the Certify tab,
- 14:54 tap the arrows to the right and left
- 14:57 to scroll to specific dates.
- 15:00 A checkmark indicates a certified record.
- 15:03 An exclamation point indicates
- 15:05 there was a system or sensor failure
- 15:07 when the log was recorded.
- 15:10 If a record is incorrect,
- 15:11 tap the record, then tap Edit.
- 15:16 If changing the original duty status to another,
- 15:19 select the new duty status
- 15:21 and a predefined remark
- 15:22 to describe your activities during the status.
- 15:25 Close the keyboard and tap Next.
- 15:29 If you need to do more complex editing,
- 15:31 like you never logged a day-long meeting,
- 15:34 you must perform two edits
- 15:35 to split and change duty statuses.
- 15:38 In this example,
- 15:39 you'll select the duty status that's an error,
- 15:42 tap Edit,
- 15:43 and tap Split
- 15:45 to divide the 24-hour off-duty status.
- 15:49 The duty status is split in half
- 15:51 and both segments have the same
- 15:52 status and location.
- 15:55 Select the status, time, and location
- 15:58 for the new duty status
- 16:00 and add remarks to explain activities
- 16:02 during the duty status.
- 16:04 When finished, tap Next,
- 16:08 type a reason for editing the status,
- 16:10 and tap Save.
- 16:13 At this point, you must make additional changes
- 16:15 to this log, so tap Not Ready.
- 16:19 Then repeat the split.
- 16:21 Duty status and time updates,
- 16:23 add remarks,
- 16:25 and tap Next.
- 16:27 Type the reason for the edit,
- 16:29 and tap Save.
- 16:32 Now that the day is up to date,
- 16:34 tap Certify.
- 16:37 Do a final review of this day's logs,
- 16:40 and if they're correct,
- 16:41 tap Agree.
- 16:44 Your logs for this day are now certified
- 16:46 and show a green checkmark
- 16:48 next to each duty status.
- 16:52 If your carrier makes edits to your logs
- 16:54 from the host Hours of Service application,
- 16:57 you see a pop-up.
- 16:59 You must review,
- 17:00 then reject or confirm the proposed edits.
- 17:03 If you reject the edits,
- 17:05 they are no longer listed as pending
- 17:07 and revert to what they were
- 17:09 before the carrier proposed the changes.
- 17:12 If you confirm the changes,
- 17:14 you are prompted to certify the logs
- 17:16 for that day.
- 17:18 When you agree,
- 17:19 the logs are updated over the air
- 17:21 and the back office sees that you accepted
- 17:23 the proposed log changes.
- 17:29 Unassigned Vehicle Activity, or UVA,
- 17:31 is drive time that accumulates
- 17:34 with no active driver logged in
- 17:35 to the IVG.
- 17:36 If any unassigned drive time accumulates
- 17:39 on an IVG, the next driver to log in
- 17:41 is prompted to claim ownership
- 17:43 of that drive time.
- 17:44 If you reject the drive time,
- 17:46 your company's back office personnel
- 17:48 must manually assign it to a driver.
- 17:51 Back office personnel periodically
- 17:53 review reports to identify and resolve
- 17:55 instances of UVA.
- 17:59 Be aware that you may also see
- 18:01 a performance monitoring prompt
- 18:02 that is different from the Hours of Service,
- 18:05 or the UVA prompt.
- 18:06 Accepting the UVA prompt adds hours
- 18:09 to your record of duty status logs,
- 18:11 and accepting the performance monitoring
- 18:13 prompt adds information about driving
- 18:15 and idling to your performance monitoring totals,
- 18:18 but does not affect
- 18:20 your hours of service logs.
- 18:22 Just be sure that any time
- 18:24 you accept is truly time
- 18:26 that accumulated on this vehicle
- 18:28 while you were the active driver.
- 18:32 If the back office
- 18:33 assigns UVA to you,
- 18:35 you must review and certify
- 18:37 or reject that change.
- 18:39 You'll see a notification
- 18:40 when you log in notifying you
- 18:42 that the carrier edited your logs,
- 18:44 and you can review those changes
- 18:46 before you certify your hours.
- 18:48 To avoid generating UVA,
- 18:50 be sure to log in to the IVG
- 18:53 at the start of your day
- 18:54 and verify that your full name resolves,
- 18:56 indicating your login was successful.
- 18:59 If you have a co-driver,
- 19:01 be sure to indicate that you
- 19:03 are the active driver while you're driving.
- 19:10 Personal Conveyance
- 19:11 previously known as off-duty driving
- 19:13 is a special case
- 19:15 of the off-duty status that,
- 19:17 if allowed by your company,
- 19:18 lets you manually identify time
- 19:21 that you generate while off-duty
- 19:23 as personal conveyance.
- 19:25 Your company may allow unlimited
- 19:27 personal conveyance or limit it
- 19:29 to a number of minutes.
- 19:30 If your company limits the length
- 19:32 of personal conveyance,
- 19:33 you'll receive an alert on the IVG
- 19:36 that indicates that you're exceeding
- 19:38 your company's personal conveyance threshold,
- 19:40 but you are not automatically
- 19:42 dropped into drive duty status.
- 19:46 If available,
- 19:47 you change your duty status to off-duty
- 19:49 and flag it as personal conveyance.
- 19:52 You must enter remarks
- 19:53 about the duty status.
- 19:55 Close the keyboard
- 19:56 and tap OK.
- 20:00 While you are in personal conveyance,
- 20:02 the GPS resolution for your location
- 20:04 is reported to the nearest 10 miles .
- 20:09 Be aware that your company may have
- 20:11 set up automatic notification
- 20:12 so that someone is alerted
- 20:14 when you enter personal conveyance.
- 20:17 When drive time accumulates,
- 20:34 drivers are required to keep
- 20:36 their duty status logs up to date
- 20:37 and certify them every 24 hours.
- 20:40 When drivers are stopped by a DOT
- 20:42 or MOT officer,
- 20:43 drivers can expect that,
- 20:45 in addition to a possible vehicle inspection,
- 20:47 they must present their driver's license,
- 20:50 medical card and waiver,
- 20:52 hazmat requirements,
- 20:53 and other materials including current daily logs
- 20:57 and hours of service.
- 20:58 Drivers should have the ELD guide available
- 21:00 and accessible in-cab
- 21:02 as the inspector may request to see it.
- 21:04 This guide is a set of instructions
- 21:06 on how to share or transfer your logs
- 21:08 to an inspection officer.
- 21:10 If stopped for an inspection
- 21:12 while using the Omnitracs
- 21:14 hours of service application,
- 21:15 the driver will open the hours of service application
- 21:19 and navigate to the graph tab.
- 21:21 Hand the IVG to the inspector
- 21:23 through the driver's window.
- 21:26 Provide the ELD guide.
- 21:28 If the inspector requests electronic copies
- 21:31 of the logs,
- 21:32 the driver must
- 21:34 Navigate to the Day Log tab
- 21:35 and tap ERODS.
- 21:38 Select Web Services or Email.
- 21:41 Enter any comments
- 21:42 and tap Send.
